Report Builder makes it easy to export reports so that you can analyze and share your data outside the platform. You can download reports in Excel, CSV or chart formats directly from a report using the right-click menu on the table.
In this article we will discuss how to export data from Reports Builder. This will include how to:
Export a Report
Any table data in Reports Builder can be exported to CSV or Excel using the right click context menu directly on the table.
The default Excel export behavior will export the grid as it is currently rendered. This means the exported spreadsheet will match what is displayed in the grid at the time of export following any sorting, filtering, row grouping, columns visible, grouped columns etc.
What Data is Included in the Export?
When you export a report, the downloaded file will reflect how your data is currently displayed in your table. Specifically:
Visible columns only – If a column is hidden (unchecked in the "Columns" menu), it will not be included in the export.
Applied sorting and filters – Any sorting or filters in place at the time of export will be reflected in the downloaded file. Data that has been filtered out will not appear.
Row and column order + grouping – The export will maintain row and column order and, if grouping is applied, you will have options for how grouped data appears in the Excel file. Check out the below "Export Reports with Grouped Data" section for more information.

Exporting Reports with Grouped Data
Within Excel
If your report includes grouped data, the Excel export will preserve this structure using Excel’s outline feature. Here’s what that means:
The left side of your spreadsheet will display small numbers (outline symbols) allowing you to expand or collapse groups. Each number represents a level of the grouped data, with the lowest number being the highest level of grouping.
Using the outline menu, you can quickly reveal the detail for each group and drill down to your preferred level of information.
Clicking "1" will show only the highest-level summary data, such as total hours by Matter Practice Area.
Clicking the highest number (e.g., "4") will expand all groups, displaying detailed rows down to the individual level.
Example Within Excel
For example, exporting a report that is grouped by three elements generates four groups within the Excel file:
Clicking on the "1" will hide the sub-group information for the sheet, showing only the Matter Practice Areas and their hours. Clicking on the "4" will break out all groups down to each individual timekeeper and their details, similar to how the report behaves in Paladin. ⚡️ Tip: If you are preparing a report for leadership, legal aid partners or other groups and want to quickly pull high-level detail, Excel's "Copy Visible Cells Only" is a helpful feature. Instead of manually filtering or restructuring the data, you can quickly copy and paste visible cells into another document. Learn how to do this in Excel’s guide: Copy visible cells only
Export as a Chart
Users can select a range of cells in the grid and create a chart from the table. To do this:
Select a cell range of numeric values in the grid by dragging the mouse over a range of cells.
Bring up the menu by right-clicking and select the desired chart type from the 'Chart Range' sub menu
Note: The data selected for charts must be numeric in value
After creating a chart, users have the options to download the chart and/or use the Chart Tool Panels to change the selected chart type and customize the data and chart formatting.
